What information is being collected?

  • When you make a donation you may give us your name and address if you fill in one of our forms to allow us to claim ‘Gift Aid’. This would also tell us if you are/are not a UK taxpayer.
  • This ‘Gift Aid’ form also allows you to provide us with your e-mail address in order to receive our newsletters electronically.
  • If you make regular donations by bank standing order/direct debit you will give us your bank account details.
  • If you make a donation online your card information is not held by us, it is collected by BT ‘mydonate’ our third party payment processors. They specialise in secure online capture and processing of credit/debit card transactions.
  • If you interact with us using social media platforms (eg Facebook/Twitter) we may obtain information about you (eg if you publicly tag us in an event photo). The information we receive will depend on the privacy preferences you have set on those platforms.

 

Who is collecting it?

  • The trustees, but especially the treasurer of “Children with Cancer in Malawi”, collect this information and it is stored on lap top computers which are password protected. We take all available steps to ensure technical controls are in place to protect it.
  • Sometimes your data (eg e-mail addresses) will be transferred from one trustee to another over the internet to update changes to your personal details.
  • BT ‘mydonate’ will hold your credit/debit card information if you make an online donation.

 

How is it collected?

  • We only collect information provided directly by you.
  • We do not use any other methods to collect any other data.
  • We do not use any professional or commercial fundraisers to obtain any information about you.
  • As far as possible your data is anonymised (by allocating you a donor reference number when you first donate to us) to try and provide an extra level of privacy.

 

Why is it being collected and how will it be used?

  • We will use the information to send you our newsletter three/four times a year if you have requested them.
  • We will use the information to submit our yearly ‘Gift Aid’ donations schedule to HM Revenue & Customs to reclaim ‘Gift Aid’ from your donations if they are eligible.

 

Who will it be shared with?

  • We do not share or sell any of your information to third parties.
  • We do not share any of your information with third parties for marketing purposes.

 

How long is your information kept for?

  • While you continue to be a supporter of “Children with Cancer in Malawi” (either a financial supporter or just as an interested party) we will continue to keep the personal information provided by you in order to claim ‘Gift Aid’ and to send you our newsletters.
  • If you decide you no longer wish to support us, and inform us either in writing or electronically, we will continue to keep your personal information for 6 years to comply with tax/accounting purposes. All of it will be disposed of then by shredding.

 

Your rights

  • You can request access to and/or a copy of the personal data that we hold about you. If you want to access your information, please send a description of the information you would like to see and proof of your identity by post to the address provided above.
  • You have the right to correct inaccurate or incomplete information we hold about you. If you move house or change email address, or if you believe any of the other information we hold is inaccurate or out of date, please contact us via email or post (see above).
  • You have the right to ask us to delete some or all of your personal information. We will do so as far as we can but we must comply with legal and regulatory obligations to which we are subject, eg court or regulatory authority like the Charity Commission or Fundraising Regulator and HM Revenue and Customs.

 

Changes to this policy

Any changes made to this policy will be posted on this website or, if you have requested information by post, sent to you in a letter. If there are any major changes we will make this very clear.
